RESPONSIBLE USE & ACCOUNTABILITY

How Counselora handles
AI and your information.

Counselora helps school counselors plan and draft materials. You check the work and decide what to use.

This practical overview summarizes current product behavior and the published policies. It does not replace the Privacy Policy, Terms of Service, or a school’s own approval process.

Use fictional scenarios

Do not enter student names, IDs, contact information, education or counseling records, health information, or other confidential details in prompts, saved work, or support emails. Removing a name alone may not make a situation anonymous. Student accounts and direct student use are not offered.

Review every draft

AI can be inaccurate, biased, incomplete, or unsuitable for a student group. Check facts, cited standards, accessibility, developmental fit, cultural context, and local policy. Counselora does not diagnose, provide crisis response, or make eligibility or disciplinary decisions.

A PRACTICAL DATA OVERVIEW

Which services handle your information?

Current services and their roles
ServiceRole and information involved
SupabaseSign-in, account details, and saved work.
Vercel & AI providerApplication hosting and AI routing. Draft requests, settings, and content needed for revisions pass through Vercel AI Gateway to the configured model provider; the current default uses an OpenAI model.
StripePayments and subscriptions. Payment details are entered with Stripe; the application does not store full card numbers or security codes.
BrevoAccount email delivery and marketing communications where applicable.
AnalyticsBasic screen counts through Vercel, with an off switch in the Privacy Policy. Account-linked PostHog tracking is separate and only runs if you allow it. We exclude prompts, document text, names, and emails from analytics properties.

Providers may process operational records separately. See the Privacy Policy for the full scope and analytics controls.

Retention & deletion

Saved work stays associated with your account until removed through available features or a verified deletion request. Archiving is not deletion. Request access, correction, or account deletion at hello@counselora.com. Cancel recurring billing separately. Backups and required operational, financial, or legal records may persist.

Before using Counselora through your school

Providers may keep some records, and their terms and settings affect how information is used and stored. If your school needs specific privacy or storage protections, contact us before using Counselora. A school agreement may be needed. We do not claim FERPA or HIPAA certification.

How materials are reviewed

Counselors review and adapt generated materials before use. The platform provides a review checklist. We do not claim every output is independently reviewed, clinically validated, or approved by ASCA. The public sample shows a proposed mapping for review.

Questions or quality concerns?

Email hello@counselora.com with the tool, a general description of the issue, and a fictional example if helpful. Do not include student details or passwords. A pilot would agree on review responsibilities and support expectations before launch.
